TITLE: Back Office Operations Manager

REPORTS TO: CEO and CFO

FLSA: Exempt

GENERAL SUMMARY

Provides strategic direction, oversight, and administration of the credit union’s operations functions. Directly manages all Operations associated with checks, deposit operations, debit cards, card fraud, credit cards, online banking applications, wires, ACH transactions, and negative shares.  Oversees and manages the paid items, large items, non-post, online entries, overdrafts, return items, stop payments, statement processing, and research and legal documentation related to subpoenas, and citations.

ESSENTIAL FUNCTIONS

  1. Provide strategic direction for the Operations Department, including direction for products and services related to debit and credit cards, deposit operations, online and mobile banking, wires, ACH transfers and fraud monitoring.
  2. Assist in directing all credit union operations, which include planning, recommending, and implementing programs and policies, and providing general administrative direction.
  3. Take ownership of all activities related to member accounts.
  4. Ensure that the CEO/President and CFO is kept fully informed on the conditions and operations of the back office operations and of all the important factors influencing them.
  5. Direct all aspects of the Back Office Operations to ensure effective and efficient response time, quality of member service, and compliance with existing regulations and policies.
  6. Overseeing the check and deposit account processing function including several key processes — check payments, deposited items, ACH, overdrafts and return items, ATM and debit card settlement, statement rendering, and related reconciliation.
  7. Preparing monthly statistical control reports for account reconciliation, ATM, debit card, and other reports as requested.
  8. Resolving member issues related to deposit accounts.
  9. Managing the imaging of deposit account related documents and forms.
  10. Responsible for deposit account research and adjustment activities.
  11. Working closely with many of the other functional areas of the Credit Union to ensure efficient and timely management of member deposit accounts.
  12. Assist/develop, implement, and maintain operational procedures to maximize efficiency and quality of work and to provide consistent quality service to members.
  13. Manage deposit account activities including completion of timely review and approval of daily overdraft, large items, wire transfers, and stop payments.
  14. Manage and implement action plans to correct findings from self-assessments, audits or exam findings.
  15. Responsible for generating, reviewing, monitoring, and analyzing periodic reports (e.g., daily, weekly, monthly) related to back office operations.
  16. Hold periodic staff meetings. Identify areas for improvement, changes in procedures, new developments, or changes in services or procedures.  Keep staff up to date on trends and general credit union information.
  17. Oversee staff on a daily basis and develop and monitor performance standards. Responsible for annual evaluations.
  18. Assist staff in resolving complex member issues and questions.
  19. Promote a culture of high performance and continuous improvement that values a commitment to quality.
  20. Attend training courses, webinars, and conferences as necessary.
  21. Must have a valid driver’s license in order to travel to other locations as scheduled or needed.

Education/Experience

Associate’s or Bachelor’s Degree in Business or Business Management.  A combination of high school education or equivalent with finance, accounting or operations experience.  A minimum of 2 years management/leadership/training experience in a credit union or banking environment.  Knowledgeable with MS Office computer software.

Physical Requirements

May be required to stand or sit for extended periods of time.  Vision abilities require close vision for frequent viewing of computer monitor and review of documents.  Position involves wrist/hand manipulation, restriction to workstation for extended periods of time.  Communication abilities required by this job includes clarity in speech and hearing for effective staff/member interaction.
